Scope of This Policy

This Policy applies to uhp.com and its subdomains, and to the UHP applications used by prospective students, enrolled students, graduates, and staff — including the student companion application and the staff operations platform. Some UHP products publish their own supplemental privacy policies; where a product-specific policy exists, it governs that product and this Policy governs everything else.

Resale or disclose of information to third parties

UHP does not sell, rent, loan, trade, or lease any personal information collected on our site.

UHP in some cases analyzes website logs and first-person cookies to constantly improve the value of the materials available on related websites. The website logs and cookies are not personally identifiable, and we make no attempt to link them with the individuals who browse the site.

Use of cookies

Cookies may be used on some areas of UHP websites.

UHP may use cookies to make the use of our web site easier for visitors and to facilitate efficient registration procedures. In most cases, a visitor can refuse a cookie and still fully navigate the site.

UHP applications use session cookies that are necessary for authentication. We do not use advertising cookies or third-party advertising trackers. Disabling session cookies will prevent you from signing in.

Collection of Personally Identifiable Information

UHP collects very little personally identifiable information from visitors to this website. Usually, data is only collected when a visitor requests additional information, registers for specialized areas of the site, or voluntarily submits information or comments. In those cases information may include but is not limited to identifiers, such as name, mailing address, email address, age, phone number, unique personal identifiers, IP addresses, collected directly from the visitor and used to fulfill the visitor’s request, when visitor communicates with UHP and other activities where the visitor submits Personal Information to UHP.

We collect more information from people who apply to, enroll in, or work for our programs, because delivering a training program requires it.

Prospective students. Name, email address, phone number, program of interest, cohort preference, military branch, GI Bill or benefit type, eligibility and document status, and the record of your communications with our admissions team.

Enrolled students.

• Identity and contact data: name, email address, phone number, home address, date of birth, sex, and a UHP student identifier.
• Military service data: branch, rank, military occupational specialty, and separation (ETS) date.
• Benefits and funding data: GI Bill type and certification number, and scholarship or funding type.
• Academic records: enrollment and cohort records, attendance, coursework, quiz and exam attempts and scores, milestone completion and sign-off, credentials such as NCCER identifiers, and certificates issued.
• Campus life data: housing and bunk assignment, transportation and departure arrangements, gear sizes, dietary flags, emergency contact name, phone and relationship, and health or safety disclosures you choose to provide for accommodation purposes.
• Photographs: a headshot used for student identification, campus credentials, and certificates.
• Campus access records: badge issuance and, where badge readers are in use, the time, reader, and location of badge events.
• Assistant conversations: the messages you exchange with the in-app assistant and the record of that session.
• Device data: push notification subscriptions, browser or device user agent, and application logs.

Staff and instructors. Name, work contact details, role, team and reporting line, task and scheduling records, and — where you use the time-clock feature and grant your device permission — the approximate location and accuracy reading recorded at the moment you clock in or out. Location is captured only at that moment. UHP does not continuously track staff location, and clocking in without granting location permission still works.

Use of Personally Identifiable Information

Information obtained by the site is used only for the intended purpose stated when information is collected. Data is not used for secondary or unrelated purposes, or shared with a third party, unless otherwise disclosed at the point of collection. If their information may be shared, visitors will be asked for permission beforehand.

We use information collected through our applications to:

• operate your account and deliver the program you enrolled in;
• administer admissions, enrollment, scheduling, attendance, assessment, and graduation;
• operate campus housing, transportation, dining, and access control;
• communicate with you by email, SMS, and push notification about your account, program, and campus operations;
• administer education benefits and funding where you ask us to, including certification to the agency or sponsor providing them;
• meet accreditation, licensing, health, and safety obligations; and
• comply with law.

We do not sell your personal information and we do not use it for advertising.

Service Providers

UHP uses the following vendors to run our platforms. They process personal information only to provide their service to us, under contract:

Platform data is stored in data centers located in the United States (US-East).

Artificial Intelligence

UHP uses third-party AI services — Anthropic, OpenAI, and Google AI (Gemini) — to power assistive features in our applications. Your data is not used to train AI models. These providers process content only to return a result to us.

Where AI is used.

• A student assistant in the student application, which answers questions about your program and campus life. To do that, it is given a limited snapshot of your record — such as your first name, program and day, housing assignment, whether a roommate is assigned, gear sizes, and dietary flags. Your conversation history is retained so the assistant can follow a thread.
• A staff assistant in the operations platform, which answers staff questions about programs, scheduling, facilities, and student progress. What it can read is limited by the asking staff member's role.
• Document and content processing, where staff submit a document, spreadsheet, or media file for summarizing, extraction, or indexing.
• Search indexing, where text is converted into a numerical representation so our internal knowledge search can find it.

Limits we apply.

• AI features do not make final decisions about admission, enrollment, grading, discipline, graduation, employment, or benefits eligibility. A UHP staff member is responsible for those decisions.
• Staff assistant access is scoped by role, so the assistant cannot read records the staff member could not open directly.
• An automated redaction layer scrubs identifiers such as email addresses, phone numbers, Social Security numbers, dates of birth, addresses, and medical terms from assistant output and from search queries before they are stored. Redaction over free-form text is imperfect and is a secondary safeguard, not our primary access control.
• Assistant interaction logs and internal search-query logs carry an expiry date and are deleted automatically by a scheduled job.

Voice and on-screen assistant. In the staff platform, an assistant can be spoken to and can reply as an animated on-screen presenter. Speech-to-text is performed by your web browser's own speech recognition, which in most browsers means your spoken audio is sent to your browser vendor for transcription under that vendor's privacy policy, not UHP's. UHP receives the resulting text. The spoken reply and its video are generated by HeyGen from text; no recording of you is sent to HeyGen. Voice input is optional and off unless you start it.

Campus Access, Cameras, and Location

Badges. Students are issued a campus credential. Where badge readers are in use, we record the time, reader, and location of each badge event to operate access control, attendance, and campus safety.

Cameras. Staff devices may use the device camera to scan a badge or QR code. The scan is decoded on the device itself; camera images are not uploaded to UHP or to any third party.

Location. UHP does not track the location of students through our applications. The only location data we collect is the point-in-time coordinate recorded when a staff member clocks in or out with the time-clock feature, as described above.

Data Security

We protect personal information with:

• encryption in transit and at rest;
• row-level security in our database, so a signed-in account can only reach the rows it is entitled to;
• role-based access controls that limit staff access to what their role requires, including the records the staff assistant can read;
• a technical control that blocks write operations to our admissions CRM;
• automated redaction of identifiers before assistant output and search queries are stored;
• automatic expiry and scheduled deletion of assistant interaction logs and search-query logs;
• session protection on authenticated flows and rate limiting on public endpoints.

No system is perfectly secure. If a breach affects your personal information, we will notify you and the appropriate authorities as required by law.

Data Retention

We retain student records for as long as needed to deliver your program and thereafter as required by our accreditation, licensing, benefits-administration, and legal obligations. Prospective-student and marketing records are retained for up to 24 months after your last interaction with us unless you ask us to delete them sooner.

Assistant interaction logs and internal search-query logs are retained on a short cycle — each record is written with an expiry date and removed by a scheduled deletion job once it passes.

Where you request deletion and no legal or accreditation obligation requires us to keep a record, we purge it within 30 days.

Your Rights

Regardless of where you live, you may ask us to:

• Access — receive a copy of the personal information we hold about you;
• Correct — fix information that is inaccurate or incomplete;
• Delete — delete your personal information, subject to records we are required to keep;
• Export — receive your data in a structured, machine-readable format;
• Withdraw consent — withdraw your consent for any optional processing that relies on it; and
• Opt out — stop non-essential communications.

To exercise any of these rights, contact privacy@uhp.com. We will respond within 30 days. We will not discriminate against you for exercising them.

California Residents

California residents have the right to know what personal information we collect, to request deletion or correction, to opt out of the sale or sharing of personal information, to limit the use of sensitive personal information, and not to be discriminated against for exercising these rights.

The categories we collect are identifiers, education information, professional and employment information, internet or other electronic network activity information, visual information (photographs), and inferences drawn from program performance. We also collect the following categories of sensitive personal information: health and dietary disclosures; military service information; government benefit identifiers, including GI Bill certification numbers; precise geolocation, limited to staff time-clock events.

We collect sensitive personal information only for the purposes described in this Policy — delivering the program, operating the campus safely, administering benefits, and paying staff — and we do not use or disclose it for other purposes.

UHP does not sell or share personal information, including the personal information of anyone under 16.

Children

UHP programs are directed to adults. Our websites and applications are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has provided us information, contact privacy@uhp.com and we will delete it.

International Users

UHP is based in the United States and stores platform data in the United States. If you access our services from outside the United States, you are transferring information to the United States. For individuals in the EU/EEA and the United Kingdom, we process personal data on the basis of contract necessity, consent where we rely on it, and legitimate interest, and we maintain data protection terms with our service providers.

Changes to This Policy

We will update the Last Updated date above when we make material changes, and we will notify affected users by email where required. Continued use of our websites and applications after an update means you accept the revised Policy.
